When you use our booking form (/book) or inquiry form (/inquiry), Cool Maskani collects the following information you provide: full name, email address, phone number, country of residence, preferred contact method (WhatsApp or email), and details relevant to your inquiry — such as stay dates, number of guests, purpose of stay, unit type preference, property address (for management or furnishing inquiries), budget range, style preferences, and timeline.

We also collect technical information automatically when you visit the website, including your IP address, browser type, and pages visited, for the purpose of operating and improving the site.

We use the personal information you provide solely to respond to your booking request or inquiry. This includes confirming availability, sharing rates, arranging check-in details, and any follow-up communication related to your request.

We do not use your information for marketing or promotional purposes without a specific, separate request from you. We do not share it with third parties except as described below.

Booking and inquiry forms submit data to our servers, where it is processed and sent to our team by email using Gmail SMTP (Google). The information you submit is stored in transit on Google's mail infrastructure, subject to Google's privacy terms.

If you choose WhatsApp as your preferred contact method, follow-up communication may occur via WhatsApp (Meta). WhatsApp's own privacy policy governs that communication.

We use the following third parties in operating this service: Google (Gmail SMTP for email delivery), Vercel (hosting and infrastructure), and Cloudflare (DNS and network security). We do not sell your data to any third party.

This website does not currently use Google Analytics or similar third-party analytics services. We may in future use a privacy-respecting analytics tool (such as self-hosted Umami). This policy will be updated if and when that occurs.

We retain booking and inquiry records for as long as necessary to fulfil the service requested and to meet any applicable legal or accounting obligations. Typically this is 12 months after the last interaction, unless a longer period is required by law.

If you wish to have your information deleted before that period, contact us via WhatsApp or email and we will action your request within 14 days.

Under the Kenya Data Protection Act (2019) and the regulations of the Office of the Data Protection Commissioner (ODPC), you have the right to access the personal information we hold about you, request correction of inaccurate data, request deletion of your data, and object to or restrict how your data is processed.

We take reasonable technical and organisational measures to protect the personal information you provide. Form submissions are transmitted over HTTPS. We do not store payment card information — payments, where applicable, are discussed and arranged separately via direct communication.

We may update this policy from time to time. The date at the top of this page reflects when it was last revised. Continued use of the site after any changes constitutes acceptance of the updated policy.
